This website is operated by Beijing Crownflow Headwear Co., Ltd. (“Crownflow”, “we”, “us”), a headwear manufacturer located at Room 201, Building 3, Xingguang 2nd Street, Optomechatronics Industrial Base, Taihu Town, Tongzhou District, Beijing, China.

2. Information we collect

We collect information you choose to provide when you request a quote, email us or message us on WhatsApp:

• Identification and contact details: name, company name, email address, phone or WhatsApp number, country and delivery location.
• Project details: cap style, quantity, decoration method, target delivery date, artwork or reference files, and any message you send.
• Commercial information: quotes, sample approvals, order specifications, shipping and payment records where an order is placed.
• Technical information: standard server logs processed by our hosting provider, such as IP address, browser type, requested page and time of access.

We do not intentionally collect information from children, and we do not ask for special-category personal data. Please do not send sensitive personal data in artwork files or messages.

3. How we use information

• To prepare quotes, mockups and samples you request.
• To communicate about your project, order, delivery and after-sales support.
• To produce, pack, ship and document your order, including customs and freight paperwork.
• To keep business records and comply with legal, tax and accounting obligations.
• To protect the website and our business against fraud, spam and misuse.
• To improve our products and website based on aggregated, non-identifying feedback.

4. Legal bases

Where the EU or UK GDPR applies, we rely on: (a) performance of a contract or steps taken at your request before entering a contract; (b) our legitimate interests in responding to business enquiries, administering orders and protecting our business; (c) consent where you have given it, for example for optional marketing communications; and (d) legal obligation where record-keeping is required by law.

5. Sharing and processors

We do not sell personal information. We share it only with service providers who help us operate the website and fulfill enquiries, and only as needed:

• Form handling: if you submit the RFQ form, the information is transmitted through a static form service (currently FormSubmit) to our sales mailbox.
• Hosting and security: our website is hosted on Cloudflare Pages, which processes technical logs and security data.
• Email and messaging: information you send by email or WhatsApp is processed by those providers under their own terms.
• Logistics and payment: where an order is placed, we share the minimum necessary details with freight forwarders, carriers, customs brokers and payment providers.
• Legal requirements: we may disclose information if required by law, court order or a competent authority.

6. International transfers

Our business is based in China and we serve customers worldwide. Information may be transferred to and processed in China and in the countries where our service providers operate. Where required, we use appropriate safeguards for such transfers, such as standard contractual clauses offered by the relevant provider.

7. Cookies and analytics

This website does not use advertising cookies or third-party analytics cookies. The hosting provider may set strictly necessary security cookies. If we add analytics or marketing tools later, we will update this policy and, where required, request consent before non-essential cookies are set.

8. Retention

Quote and project enquiries are kept for as long as needed to respond and for up to 24 months afterward, unless a business relationship or legal obligation requires longer retention. Order, tax and accounting records are kept for the period required by applicable law. Artwork files are kept only as needed for production and repeat-order support, then deleted or anonymized on request.

9. Your rights

Depending on your location, you may have the right to request access to your personal information, correction of inaccurate data, deletion, restriction of processing, objection to processing, portability, and withdrawal of consent. You may also lodge a complaint with your local data protection authority.

To exercise a right, email sales@headwearmfg.com. We may need to verify your identity before acting on a request. We will respond within the period required by applicable law.

10. Security

We use access controls, HTTPS, restricted mailbox access and need-to-know handling of project files. No method of transmission or storage is completely secure; please avoid sending sensitive personal data that is not necessary for your enquiry.

We may update this policy to reflect changes in our services, providers or legal requirements. The “last updated” date at the top of this page shows the current version. Material changes will be highlighted on this page.
